PRIVACY POLICY:
At LIONMOUTH CIC (also known as LionMouth Rural Centre) we are committed to protecting and respecting your privacy.
All personal information will be treated in confidence and will not be disclosed to third parties unless required by law.
We were, are and will continue to be registered with the UK’s official Data Protection Registrar. In addition, the LIONMOUTH CIC will:
a. Follow the Guidelines set out by the Information Commissioners Office and comply with the General Data Protection Regulation
You can ask for a copy of your record on our database, or in hard copy files, which will be deleted after you cease to be a LIONMOUTH CIC customer, contractee, client, employee or volunteer (unless required by law for a certain duration)
b. Hold the minimum of information about you.
We cannot send you any information without knowing your contact details. For online email enquiries this is limited to your email address. For payments or paid donations to LIONMOUTH CIC we require you name, bank account number and sort code. A phone number is very helpful just in case there is ever a problem and we need to talk. As a day care service client we need your name, address, medical and needs requirements as outlined by a social service professional in a care plan. We will also need a point of contact for emergencies (usually a name and a phone number). We also keep attendance records for invoice purposes. Volunteers will need to provide sufficient information for us to obtain a DBS certificate, but after that we will return or destroy any copies of documents and retain only name and phone or email contact details. Staff will need to provide information for both a DBS certificate and payslips. Again any proof of identidy documents will be returned or copies destroyed once procedures are completed. Records will be kept of address, contact details NI number, attendance and payments in order to fulfil HMRC and employment requirements as well as complete payslips.
c. Not to hold your credit / debit card details on file or on any computer.
Your credit / debit details are not stored anywhere at LIONMOUTH CIC and used only for immediate processing of payments on a hand held card machine which means that they are unavailable to computer hackers. Payments are processed by IZETTLE who are validated and compliant with the Payment Card Industry Data Security Standard
d. Wait to be contacted by you and will not buy, sell, give nor exchange your details.
Your details will only be used for normal contact and accounting processes. We cannot say that they will never be given to anyone, because VAT Inspectors and a few other government officials are duly authorised to inspect them on demand.
e. Avoid all ‘Data Capture’ techniques by post, phone, email and website.
Some websites demand all kinds of personal information about you, for them to 'harvest' and sell on to other organisations, before letting you into their site. We do not and will not do this.
f. Send you only solicited mail or email.
We will not swamp you with unsolicited junk mail nor emailed ‘spam’. As a point of emergency or next of kin contact we may from time to time send you details of timetables or events, or consent forms that concern the service user in your care.
g. Use a reputable web host with secure server software for our online shop.
Enquiries made via the website our will be encrypted by WEEBLY while in transit and so as secure as possible. Direct enquiries made through Facebook private messaging service will only been seen by the LIONMOUTH CIC Facebook administrator and subject to Facebook privacy regulations. Any comments made on the LIONMOUTH CIC open Facebook sites are subject to general Facebook public conditions.

GDPR comes into force on 25 May 2018 and gives individuals more clarity on what data is held about them and how it used as well as greater powers to ensure their information is safe, restrict its usage and that it is deleted in accordance with your wishes.

Data is held for the length of transaction or client attendance or longer where we have a legal obligation to do so (usually, although not solely, financial)
Accuracy and changes to data.
From time to time we may contact you to ensure that the information you have provided remains accurate and up to date. For LIONMOUTH CIC .You may check and update your data at any time. To check your data with LIONMOUTH CIC please contact the LIONMOUTH CIC office and we will supply a copy of any information we hold about you (you may be asked for proof of identity).

We do not make any decisions regarding you or your profile by purely automated means. Every word you write to us is read by a person as the LIONMOUTH CIC Team are all human (or canine; not sure they can read very well!).

LIONMOUTH CIC has in place protocols to deal with any potential data breaches and will information any affected individuals without undue delay.

LionMouth CIC uses closed circuit television (CCTV) images to provide a safe and secure environment for employees and for visitors to the Company’s business premises, such as clients, customers, contractors and suppliers, and to protect the Company’s property.

CCTV policy
LionMouth CIC uses closed circuit television (CCTV) images to provide a safe and secure environment for employees and for visitors to the Company’s business premises, such as clients, customers, contractors and suppliers, and to protect the Company’s property.
- LionMouth’s CCTV facility records images only (conversations are not recorded on CCTV)
- All cameras are clearly visible.
- Signs are present indicating the presence of CCTV
- Images that are held on the hard drive of a PC or server are deleted and overwritten on a recycling basis and are not held for more than two weeks.
- Monitors are housed in a secure, private office and accessed only by the Data Protection Officer.(
